Hi and welcome to the Cafecito con Jefas podcast . I'm your host , Kita Zuleta , and today I am sitting with fellow Jefa Araceli Narvaez of Narvaez Financial Solutions . Hi , Araceli , I am so excited we are finally doing this . Thank you so much for being here . I'm so happy to have you .

Hi , yeah , I'm excited . I know it's a long time coming , so I'm really excited to be here .

Well , as you know , the goal of this podcast is for your fellow Jefas to get to know you a bit better and for you to be able to share your story . We're so excited to hear about it , so I would love to jump right on in . Please feel free to introduce yourself , share who you are , what you do , who you serve and where you are located .

Yeah , hi , I'm Araceli Narvaez . I am the founder of Narvaez Financial Solutions , a virtual bookkeeping firm . We are located in Long Beach , california . We provide bookkeeping services to ViPOC and Latino-owned businesses with the goal of organizing their finances and providing a clear view of their financial health .

That is amazing . Now I would love to know how long have you been pursuing entrepreneurship , how long and where did this start and what motivated you to start Narvaez Financial Solutions . I would love for you to tell us the story of how you got to where you are now .

Araceli Narvaez

Yeah , I think for a long time years really I've been pursuing just , you know , financial freedom and I got really into budgeting you know , personal finances back when I was in school , at the university , and I didn't start pursuing entrepreneurship until February of 2021 , and that just started when I gave birth to my daughter and , being in maternity leave , my fiance now and I we were wanting to start investing in real estate and so , in order to do that , we needed money .

So I just started a little side hustle to help me through that and to give me back time so I can spend with my children . I have a son and a daughter now and I just wanted , you know that extra time and I thought if I could do a side hustle , maybe , you know , I'll be able to get into that a lot faster than just a nine to five would allow me . And that's just kind of how I started . I started for keeping just as a side hustle and eventually it grew into a passion for me and I started my business in December of 2021 and from there it's just been slowly growing .

That is so great . And what I'd love to know is when it comes to the mission behind bookkeeping right , because this started as a side hustle for you . Right , like going from because you haven't been pursuing entrepreneurship this whole time . Right , like prior to , you had other other jobs . I'm sure right , and I'd love to hear a little bit about that . But going into what you're doing now for entrepreneurs as a bookkeeper , right like what is what passion was ignited for you ? Like I'd love to hear about how passionate you are and what it is that your goals are for this service and what it is that you provide .

Araceli Narvaez

Yeah , so the goal is to empower , you know , bipoc and Latino business owners and just provide them that clarity with their finances and , you know , to organize all of their expenses , all of their transactions , so that they have a view of what their business actually looks like .

We feel like , as small businesses , we tend to just kind of put that in the back burner until tax season and we don't really have a clear view of what the expenses look like , what the income looks like , and , you know , that really just kind of ties back into why a lot of small businesses fail within the first year , within the first two years , and even going into five years , a lot of businesses still fail .

And so my goal is to be able to provide these small businesses with the bookkeeping services of a bigger company , but tailored to the small businesses , and so I feel like this will also help them , you know , guide them to success and get them to see a little bit better how they're doing and not just kind of ignore that . This is something that I feel like in the Latino community we just tend to ignore a lot and , as a business owner , it's just not good for your success , and so my goal is just to help , you know , put this in the front of their minds and also , by taking it on myself , being able to provide that organization that they need so that they know , you know , their books are in good hands and that they're going to be successful . And then come taxis , and you know , I act as a liaison between the clients and the tax accountants , and so I can just communicate with their tax professionals and just make any , you know , necessary changes that need to be made in order for them to be successful .

I think it is really great that you're bringing up the fact that it can be pretty difficult to talk about money in the Latino community , and I find it so interesting because it can be a difficult subject and I you know so much of where that comes from is the culture where you simply just don't talk about money in general , right , but so much of that I feel like it definitely has to do with personal finances , right , like you keep your own checks and balances to yourself , right , like that's the type of mentality , right , you just simply don't say , well , it's not information . And I feel like , also , I mean so much in our culture too a lot of us as first gen the men in the lack that there was when it came to money . So then , on top of it , you didn't talk about money in abundance . Like , well , let's set this amount aside and save this and invest the rest . Right , it's just how much can I get in groceries this week , or how much ? Do you know what I'm saying ? Like , can we keep these lights on ?

And I feel like it comes from so much of that , right , where it comes , can come from the very the history of the struggle of not having money or not being in this place of I'm comfortable with my finances , I'm confident enough to be able to say this is how much I make , this is what I am able to do , and I feel like , also , as business owners , coming to terms with our numbers , right , and saying this is what I am actually bringing in and this is what I'm actually spending out to bring that in right .

And I love that you mentioned that you're providing bookkeeping services and the services like a large business or a corporation , right , but for small businesses and I'd love for you to talk more about that when it comes to what you do to set the small business owners up or like the fellow hip-hop , right , because we're just a lot of us are solo panoras or we just have , you know , our business partner , or maybe just we're able to hire on professionals like yourself here and there , you know , but may not be fully confident to say , yes , here are all of my numbers and all of this because there's so much there .

Kita Zuleta

When it comes to confidently speaking about it , like , what can you share ? To that where it's like , how can you help ? Like , where is it that you can say , hey , this is what I see here , this is how we can translate it , because I think it's so important for us to look at what many of us would just say small business , but treating it as a large business . Right , just looking at it as a business period it doesn't matter the size but looking at the numbers , looking at the sales , the need for sales , or how much we are spending to attempt to produce any sales . What all that back and forth can look like may need to look like ideal structure , so I'd love to hear your insight on that .

Yeah . So I think what I like to do is just like for example , I just had one of my new clients , I did a diagnostic report on her books and the first thing that I look at is the balance sheet and the proper and law statement .

Business Expense Organization

Araceli Narvaez

And so I think it's important to see not just the income but also all of the expenses and just make sure that everything is where it needs to be , because if one number is off , you never know if it's going to throw everything off . The smallest details matter when it comes to not just to money overall , but , more importantly , to your financial health , because if you don't have a clear view of what that looks like , it's just all thrown off . And so the things that I , the services that I like to provide , or you know , review of their books , we have to provide clarity when it comes to the chart of accounts , of making sure all of the transactions are categorized properly , because that all ties back into tax season . So , depending on the categories your technical account will say we'll know how to put those into your tax return . And you know , not all expenses are , you know , written off the same , and so it's important to be able to categorize things properly and you know , looking at the money in the bank account and all of the transactions in the bank account , being able to reconcile all of the accounts properly , you know every transaction matters . They all go into the reconciliation and it's something that you know .

I tell my clients we have to , you know , put all of these transactions in .

Araceli Narvaez

A lot of clients just say , oh , we can take that one out , but that's not , that's not how that works .

Araceli Narvaez

You know , because at the end of the day we have to know where your money is going and if it's going to the expenses that really matter for your business , we have to be able to put those in there Because we have to add in every transaction . They each go into , you know , categories and we can put them off towards certain sales , towards certain products or services , and it's important to be able to see how much you're spending . If you know some clients want to keep track of how much money is going to certain products , then you know we are able to just kind of go into a little bit more detail in order to show them this is how much you're spending for this certain product , this is how much you're making for this certain product and just kind of give them a clear view of where they are succeeding in their business , where they are , you know , lacking a little bit of organization and I think that just ties back towards , you know , financial health .

So , when you're talking to your fellow head , best right and thinking about so many of us who have to push all the buttons and do all of the things right , let's talk about scenario where fellow hairpies might be . Let's say , has a bank account for her business and she's swiping there and all the transactions are just there and there's no additional accountings of sorts , and then that's the bank statement that gets given to the tax person at the end of the year . This is spoken out of not being the financial guru that are out there In simple terms .

So many of us are figuring this out . And then , when it comes to tax season , it's all of the DIY method and figuring that out .

Kita Zuleta

And , as you mentioned that your role is to communicate , right , all of the things and jargon that we , as hairpies who are not in the financial world may not have to communicate to the accountants . You're the one who gets to speak on our behalf , right ? Is that what I understand when you're talking about that ? So when you do that like , how is it how you know , let's say , I am that have like , how can you help me ? What can we do and what would you suggest I start with , because that's all overwhelming , all of them , all of those titles and things . And if someone is still struggling with the money topic , what would you recommend to get started ? How can someone start working with someone like yourself , or what do they need to prepare in order to start working with you ?

Well , using you as an example .

This is not how I actually handle my transactions y'all . But yes , feel free to use me as an example , let's have a conversation here . I don't know anything about money . Let's do that I'm wearing right now .

Araceli Narvaez

I think it's important to first take a look at how everything looks . First of all , you know , for any businesses that are already maybe like in their second year in or third year in , you know it's important to see how they are handling all of their books and you know if it's just an Excel sheet , if it's written down , if they just have the receipts and piles in a box . You know we have to get to the point of starting to organize all of these things . Everything I tell all of my clients and , you know , any potential clients when I'm doing my discovery calls is we have to organize them by year , by month , and you know expenses versus income . I work on QuickBooks only QuickBooks online , and so any clients that don't have an account , first things first create an account for them , set them up properly and just based on what their business is about , the chart of accounts gets customized specifically for their needs . So you know somebody like yourself , for example , you know you do photography . It's a service-based business . It's going to look completely different from somebody that is selling t-shirts or stickers , and so it's important to make sure that is tailored and it's customized specifically for them to show the categories that matter to them and then just start putting in all of their expenses .

You know it's important to also have those . You know if they have a bank account connect that make sure that we can see all of the transactions If they're putting in money their personal money into their business . It's also important to note that you know so that they know how much they're investing into their business . If they're taking money out of their business , it's also important to note that and you know all of their sales everything needs to be recorded . So it's just a matter of making sure everything is being accounted for and making sure everything is in its right place .

And I think what a lot of businesses that don't really have bookkeeping set up . They just kind of take you know the expenses to their tax account and they don't really get a clear view of what things look like . Maybe the tax account will just give them their tax return , and I don't know many , very many tax accounts that just kind of walk them through the numbers , and so it's important for them to be able to know what that looks like and you know what their business is bringing in , what it's taking out , and just kind of know how to grow their business by using those numbers to work for them .

I love that . What I'm hearing is that not only do you help your clients organize all the receipts , so how does ? Well , I'd like to hear , how does that work ? Because what I'm hearing is that you're helping your clients not just organize their books or get them set up with QuickBooks , but also helping educate them on how to do these things right and really , like you said , empowering them to say this is how you can treat your business like a business right , by organizing your numbers , by utilizing these tools , by making sure that the red is in the red because it's properly calculated . Or we may actually be making money , or we might think we're making money , but actually we're mis-paragorizing different expenses , different places , right , and so , from what I'm hearing , it sounds like what you do is a bit more hands-on than , let's say , what a tax accountant would do right , like is that . Am I understanding that correctly ?

Araceli Narvaez

Yeah , it goes into a little bit more detail and I like to work with my clients and educate them on where their money is going , how everything is looking at the end of the month . I like to go over their income statement and their balance sheet and just give them a rundown of what the numbers look like , where they're going and all of that when it comes to the numbers being off . Going back to the client , I did the diagnostic report for her balance sheet and her income statement where showing numbers that just didn't look right . There were big jumps in some months , some numbers looked off , there were some negative numbers , and so during a more in-depth review I saw there's a lot of miscategorization and that just throws everything off . So if she looks like she's not making any money or she's like a negative , like a thousand , then I can account that for somethings are not where they're supposed to be and it's throwing everything off . And so being able to organize that is definitely giving you a clear view of exactly how many , how much she's bringing in and what her expenses look like . And so definitely I had a call with her and I just kind of walked through everything that I found and what I like to do is just kind of educate them on what they can do in the future .

Araceli Narvaez

I know a lot of small businesses like to be more hands-on with their finances . I do have some clients that just tell me you know , I trust you do what you can to get everything set up and I'm like , okay , but let me still tell you what this looks like . But with this specific client , she likes to be very hands-on , and so as I was walking her through how things were looking , I was also just kind of giving her tips and advice okay , you don't do this , this doesn't belong in this category and all of these things . And so I like to provide also that information to them , because I think it's important for them to know what they need to do . If some businesses can't afford keeping services , I think it's important for them to still be able to know how to organize things properly so that they know , so they can do it themselves without having to feel like their finances are a mess , and so that's kind of part of being able to empower them and giving them that knowledge that they need .

Kita Zuleta

Well , I would love for you to share a bit of that knowledge for your fellow hip-hopists , because here , that is a huge goal with this platform and this podcast is really being able to not just share your story , but then also be able to share these insights and wisdom .

Kita Zuleta

Right , because not every hip-hop that's tuning in is at the position where they're able to hire yourself or any other bookkeeper , right ? And so there are many of hip-hopists who are DIY . Yours truly has been DIY for many , many years in many different categories when it comes to this entrepreneurship journey , so I'd love to hear what would be your , you know , for the hip-hopists that are still in DIY or maybe with a goal of being able to hire a bookkeeper , let's say , by the next tax season , right , like , what would you recommend your fellow hip-hopists to start ? Like , where , if there is no , there's no foundation to what books are or what an account may look like or what any of these things mean , where would you suggest that your fellow hip-hopists start ? And how would some of these major categories that you're talking about , or the mislabeling , like how can we avoid some of those big mistakes that you think are easy habits to build in the beginning ?

Separating Personal and Business Finances

Araceli Narvaez

Yeah , I think the most important thing is , you know , separating any personal transactions and money from the business money . Something I see a lot is just , you know , some business owners just using the money that is coming in to buy , you know , personal items . And it's fine if you want to pay yourself from your business money , because at the end of the day you should be paying yourself from that . But just having those personal transactions coming out of your business bank account just doesn't look good . And it's not just , you know , to keep things clean , but also , you know , it's kind of piercing that corporate veil of you know . If the IRS sees that you're using your business account for personal transactions , it just makes it easier for them to say this is all personal and then they just kind of go past any protection that your business has for your personal items and it just kind of just pierces right through that . And so it's important to keep all of these things separate . If you know business owners want to pay themselves , that's fine . Take the money out instead of using your business credit card to buy yourself some jeans or something like that . And also , in terms of categorization , it's important to know what money you're putting in as equity or owner's contributions , what money you're taking out as owner's draws . And you know .

Araceli Narvaez

If you're an escort , you know you have to do payroll for yourself . If you're just a solopreneur , you know you can just take the money out . But also you know putting in all of your expenses in the correct expense accounts and there are some Excel files I think QuickBooks has for a sample chart of accounts , depending on the industry . So I do have that as well and you know I can share that with anyone that needs it . And so all of the expense accounts for you know subscriptions for travel , any . You know mileage , some COGS accounts , which is cost of goods sold or cost of you know services , all of these things .

It's important to know If you're buying paper or any like sticker sheet and you're selling stickers or you're buying shirts because you're selling those that needs to go into your cost of goods sold , and so it's important to know so that you know how much you're spending in order to sell this specific product . It's also important to just kind of categorize all of your income . I like to go into detail and categorizing per service or per product , but again , if it's something simple , you know you don't need to go crazy , but it is important to just kind of put these things into the correct categories . If you are doing sales tax , then it's to have its own category , and so it's important to make sure you know all these things down so that , when tax season comes around , not only do you have a clear view , but you also gave your tax account a clear view of what your business looks like .

I love that . Thank you so much for all of those insights , because I truly feel like it's just so important for us , as have us , to take the information . That may seem simple , like look into QuickBooks , let's start opening a spreadsheet , let's write down the transactions and really look at what are we spending in order to do what it is that we want to do , and what is that cost of production , what is that cost of goods ? And it may seem like the smallest thing , but those small things really really do matter , not just in , you know , like , of course , for tax and everything like that , but also when it comes to how well are we pricing our services , how well are we pricing our products ? Because a lot of times , I know when I first started , at one point I had an Etsy shop as well , and so I did have that product-based business where at first especially because they were handmade goods and it was crocheting and it was the thing where I was just learning- right , I had met it .

I just jumped into the Etsy world and at first it was just like what kind of price do you put on your product ? And you look at what other people are selling it for and you try to calculate like , well , how much is it really worth or how much am I doing , but really it's ? Are you able to sustain yourself If you were to grow this business , if you were to continue pursuing this passion , that ?

Kita Zuleta

you have like , are the price points that you are selling it for ? Would it be able to sustain you the way that so many of us dream of living our dream lifestyle doing the job that we love , that we're passionate about ? Are we truly able to sustain our lifestyle financially with these businesses , right and like ? In order to have a business , you have to make sales and there's you know you've got to survive as a business and the numbers are that foundation , as difficult as it may be in conversation with fellow helpers or simply just coming to acknowledge , like , okay , these are things that we really need to do . The same way , you know you would look at , you know your online presence , or look at what your website is or what your logo needs to look like . All of those details are details .

Kita Zuleta

Your business has so much to do with , of course , what it is that you do and how you serve , but what are the numbers coming in to be able to do that and how are you able to continue to pursue entrepreneurship with that foundation ? So I love that encouragement . I think it's so important and I love that you really do educate your clients and anyone coming to you to be able to say this is how I would suggest we start and let's really dig in , and it feels like you probably like hold a lot of people's hands through this process . Have you had a lot of experience with that ? Like I'd love for you to share how that's been for between you and some of your clients , but your need to talk about these things .

Araceli Narvaez

Yeah . So for some of my clients , you know , like I mentioned , they just kind of like hand things off and you know , that's , that's fine with me . I love that they're trusting me that much

Understanding Personal and Business Finances

Araceli Narvaez

. But at the same time I want them to be able to have that knowledge of what their finances look like . I think it's important to just kind of guide them through all of these things and just teach to them how to be able to look at their income statement and know what those numbers mean . And so for some of my other clients that are more hands-on you know we always go through everything I like to let them know , you know , this is what this number means , if it's like an expense , if it's an income account . You know and just kind of teach them you know what the total number at the bottom means , how we got to that number , and just kind of . I know it's a lot , a lot when you don't know exactly what you're looking at , but at the end of the day I just feel like it's important , it's a point for all of us to know what all of these numbers mean .

Araceli Narvaez

And so you know , going through their accounts , it's sometimes , you know , difficult to try to get to explaining to them . You know , again , just kind of going back to being , you know , latinos and I'm pretty sure this happens in other cultures too but just because of me being Latina , I know firsthand how much we just kind of keep , you know , our money close to our chest . And so you know , one of my clients recently , one of my new clients recently , she just kind of was telling me I don't know what I'm doing . And I told her you know , that's completely fine , I'm not expected to know everything . Even you know myself I don't know everything about running a business and I've had to bring other people in , and so it's just , you know , I try to let them know , it's fine , it's , there's nothing wrong with that . But let me let me show you , and so you know she was very nervous . A lot of her numbers , some months , were in the negative . And you know we're just going to talk about .

Araceli Narvaez

We need to check to make sure these numbers are accurate , because if they are , accurate we need to see what you can do in order to increase that number , because , you know , as small business owners , you know we do want to be able to live off of our business , but also sometimes we have to still work a nine to five and you know the goal , as you said , the dream is to just be able to live the life that we want , and just solely on our business , because for some of us it's a passion , but for some of us it's just , you know , a means to an end , if they , if they want to be , you know , financially free , and I think it's important to be able to understand what the numbers look like and be able to know what to do with them .

Araceli Narvaez

So I think you know that fear we have of looking at our numbers . It's fine , you know , because I think we're taught that sometimes , you know , money is bad and it's important for us to know that it can work for us . It's not , it's not anything evil . It's not , you know , bad to want to bring in money . We have to be able to acknowledge that .

Araceli Narvaez

You know this is something that we need to be comfortable with , and not just in personal finance but with your business if you want it to be successful , and so being able to just be a little bit more open and understanding of what your business is looking like , what your financial health is looking like , is crucial in order to be able to reach that , you know , that dream of being able to just , you know , travel or just be at home and not have to work for anyone .

Kita Zuleta

Yeah , just work for ourselves doing what it is that we love . I love that so much . I think it's so important what it is that you do and it's so important for each of us really to wrap our head around our numbers and get to that comfort level of saying this is what it is that I do , this is how I serve my people and these are my offers . This is how much I'm making , this is how we can continue to grow our business and have those businesses . So I love what it is that you do .

I love your mission in being able to empower fellow BIPOC , our small business owners , and your fellow head chefs right , and we will adjust . Support those of us who need a professional like yourself to be able to close that gap and be able to get everything in line and have more of us comfortable with speaking to money , protecting our money and growing our money , as is always the goal . The first question is as you know , many of us are a cafecito-loving community , and so I would love to hear how it is that you order your coffee , or how you would make your coffee at home . So one book that I'm currently reading that I'm really loving is Wealth Warrior by Linda Garcia . It's that one . I feel like I love it . It's amazing .
